Moving to rental software is easier when your team prepares the records before implementation. Agree who owns each part of the setup and identify questions that need resolving before automated documents are enabled.

Properties and units

Create a consistent list of properties and units. Use references that staff recognize and identify which units are occupied, vacant or unavailable. Avoid duplicate names that could lead to payment allocation errors.

Tenants and balances

Check tenant names, contact details, rent amounts and outstanding balances. Reconcile the starting figures against available records and document any disputed or incomplete balance separately.

Payment arrangements

List the bank accounts and M-Pesa arrangements used to collect rent. Ask Royalmark to confirm the onboarding process for each integration and the reference tenants should use. Test automatic payment verification before a full rollout.

Staff and communication

Decide who can update records and who handles payment questions. Confirm your messaging channels and ask how invoices, receipts and reminders will be configured. Plan a guided review with staff before using the system for a full billing cycle.
